Here\u2019s a step-by-step guide for organizing a professional and welcoming visit. This guide is for students who are hosting speakers\u00a0<strong><em>that have already arranged to give a talk at Vanderbilt. <\/em><\/strong><a href=\"https:\/\/www.vanderbilt.edu\/evolution\/inviting-an-external-speaker\/\">If you want to invite a speaker, see this guide.<\/a>\u00a0<a href=\"https:\/\/cdn.vanderbilt.edu\/vu-URL\/wp-content\/uploads\/sites\/295\/2024\/11\/14181704\/Schedule-Anne-Yoder-1.docx\">Here is an example of Anne Yoder&#8217;s schedule<\/a> from her Fall 2024 visit.<\/p>\n<ol>\n<li>Secure Accommodations and Transportation\n<ul>\n<li>Flight Information: Be sure to get flight information from the speaker. An email explaining that the speaker covers flights and is reimbursed along with their honorarium should come after you&#8217;ve invited the speaker.<\/li>\n<li>Hotel Booking: Fill out the form for the <a href=\"https:\/\/www.vanderbilt.edu\/meetatvanderbilt\/west-end-tower-2\/\">West End Tower<\/a> to book the guest\u2019s accommodations. If the visit is covered by the Evolutionary Studies Initiative (ESI), reach out to Andy for confirmation; otherwise, contact the appropriate faculty\/staff member for the COA (Chart of Accounts) information.<\/li>\n<li>Transportation: Let the guest know to take a taxi, Uber, or Lyft from the airport and keep their receipt for reimbursement. Confirm this arrangement with the speaker ahead of time to ensure they\u2019re aware.<\/li>\n<\/ul>\n<\/li>\n<li>Book Seminar and Meeting Spaces\n<ul>\n<li>Seminar Room: Reserve a suitable lecture hall for the speaker\u2019s talk, ideally one that comfortably accommodates the expected audience.
