{"id":13144,"date":"2020-08-11T08:51:52","date_gmt":"2020-08-11T13:51:52","guid":{"rendered":"https:\/\/www.vanderbilt.edu\/studentcenters\/?page_id=13144"},"modified":"2026-02-26T14:40:16","modified_gmt":"2026-02-26T20:40:16","slug":"reservation-guidelines","status":"publish","type":"page","link":"https:\/\/www.vanderbilt.edu\/studentcenters\/reservation-guidelines\/","title":{"rendered":"Reservation Timelines"},"content":{"rendered":"<ul>\n<li><span style=\"font-weight: 400\">University-wide events such as Commencement, Homecoming\/Reunion, Common VU, and Family Weekend have priority over other events.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Before planning your event or requesting a space reservation, consult the University Calendar and the Anchorlink Calendar to avoid conflicts with large-scale signature events or holy days.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Meetings and events scheduled on weeknights (Sunday &#8211; Thursday), must end at 11pm.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">All University requests for the use of facilities are to be submitted to Student Centers though the EMS web application, email, phone call or walk in.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Reservations for Signature or Annual Events (Anchor Events) can be made up to <\/span><b><i>one year in advance<\/i><\/b><span style=\"font-weight: 400\">. <\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Requests for events must be made at least 28 days or 4-16 weeks in advance.\u00a0\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Outdoor events require a minimum of 28 days or 8 weeks in advance.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Meeting spaces that do not require any services may request a space 24 hours in advance.<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Standing or recurring reservations may be requested beginning in the middle of April<\/span><b>\u00a0<\/b><span style=\"font-weight: 400\">for the following academic year. Student Centers reserves the right to limit the number of standing reservations permitted to student organizations. All student organizations are entitled to two (2) standing reservations per year, provided space is available.
