New Hire Requirements

All newly hired student employees must complete the following听before their first day of work:

  • I-9 Employment Eligibility Verification:
    The I-9 is a federal requirement and must be completed听before the student鈥檚 start date.

  • W-4 (Tax Withholding Form):
    Students may submit or update their W-4 information online by logging into听Oracle, navigating to:
    Navigator > Me > Pay > Tax Withholding

Work Hour Limitations

Undergraduate and International Students

  • Maximum of听19 hours per week听across all positions while school is in session

  • May work听up to 40 hours per week听during official university breaks (summer, winter, holidays)

鈿狅笍 Note:

International students working at听天美传媒官网 Medical Center (VUMC)听are limited to roles that directly support Vanderbilt听academic operations听辞谤听student services.

Graduate and Professional Students

  • Limited to听29.5 hours per week听while school is in session

  • May work听up to 40 hours per week听during official breaks

  • Individual academic programs may impose additional hour restrictions

Summer Break Work Hours

础濒濒听enrolled students听may work听up to 40 hours per week, across all jobs combined, during the听summer months and official university breaks.

Federal Work Study (FWS) Eligibility & Hiring

Before processing an FWS hire, please:

  1. Confirm FWS Eligibility

    • Use the听Federal Work Study Eligibility Report听颈苍听HireADore

  2. Complete the Hire in Oracle

    • Once approved through workflow, the听HCM Specialist听must add the听FWS costing string

Any change from a regular student worker assignment to an FWS assignment must align with a听biweekly pay period start date.
